After accepting the fact I wouldn’t be able to direct this term I was excited to start the producing process for LEAL.
First things first was to establish workflow and communications.
I spent a considerable amount of time investigating to-do list software and online workspaces that could serve as a production management aid. I was trying to use something that was incorporated into the Microsoft ecosystem, as this was accessible by everyone through their uni email. A big issue I encountered on my last producing job was the mixed ecosystems of where documents were being stored. I think that was one of my big aims: ONLY USE ONE DRIVE. No personal drives. Many times last year, someone would want to work on something but be hindered because they had to ask someone else for the document and then wait. This delayed progress.
This is why I wanted to ensure all documents were placed in one place and accessible to everyone. Upon my research into production management software. I came across a 365 app called Loop. It was through trying to use this that I called the Uni IT department to give me access. They explained that Planner might be better for my goals.
Thus, I investigated Planner and discovered they were correct!
I then started creating a Planner and invited to team to it. To create a Teams channel, I also had to fill out a form within Napier Internet.
I also created a shared Drive where everything would be stored. This is within the Uni system, which means it’s accessible to any student. But if we work with out-of-university collaborators. We have to be aware of their lack of access.
This is the Planner when populated with Task’s.

Each task can be assigned to people, and a start and due date can be set. I have it set up that once a task is ticked off, I will move it into the Meeting Review/Final Approval Bracket.
This means nothing won’t get discussed in person; everything will be discussed in person before being moved into the Archived bracket.
Planner automatically sends everyone an email when tasks are overdue and when tasks are assigned. This keeps people engaged and helps progress.
